How to export your CallRail data

Last checked 28 September 2026

Answer

For the whole account, an account administrator selects the Account icon in the top left, then Account Settings, then chooses Details from the Account header on the left, and in the Export Data section picks the month and year, ticks the checkbox next to Calls, Forms, SMS, Leads and Call Recordings, then clicks Start Export. The export is one month at a time and arrives as an emailed .zip holding CSV data for that month, also downloadable from the Download icon beside the month; depending on account size it takes several hours to a few days. For a filtered spreadsheet, select Analytics in the navigation bar on the left, then Activity at the top, then Call log within Calls, set the date range and companies, set the columns with Edit Columns, then select Export and choose Excel, Excel with All Columns, Excel with transcriptions, or Print. Exporting the call log with transcripts needs the Premium Conversation Intelligence plan, and an Excel export carries a cover sheet naming the filters used.

What it holds

Tracking phone calls with caller and source detail, call recordings and transcripts, form submissions, text messages and lead records.

Find the size

CallRail prints no storage figure. The Call log holds the call rows for the period chosen, so quote its row count and the row counts of the monthly account export. Date-based filtering reaches back 25 months, which CallRail states is the longest any communication record is held.

What to enter on the form

CallRail in records, and the year your company started using it. Seller form
