Open Reports and pick All Channels, Email, Company and User, or Happiness, set the date range, click the Export and Print icon at the top right beside the date filter, select Export, confirm the range, pick CSV or XLSX, then click Export. The user needs the Reports: Export reporting data permission. Help Scout emails a link with the subject Data export from Help Scout, the same user has to be signed in to download it, and requests are queued and processed one at a time. That file leaves out conversation thread contents and satisfaction rating comments, so the threads themselves come out through the Inbox API, which serves customer, user and conversation data, and articles come out through the Docs API. An account owner can also ask Help Scout support for a CSV of the customer list, names and email addresses only, with no conversation history. XLSX times are UTC; CSV times use the timezone set at Settings then Company.
What it holds
Customer conversations with their message threads, plus customer and user records and knowledge base articles.
Find the size
Help Scout shows no storage figure. Read the count in Reports then All Channels, where the metric Total Conversations is defined as the number of conversations touched, meaning created, replied to, status changed, assigned, or workflow activated on. Quote that count plus the row count of the exported CSV.
