How to export your SAP S/4HANA data

Last checked 28 September 2026

Answer

For master data, open the Export Master Data app, define the scope with Select Specific Fields or Select all Fields from All Tables, choose the object, Business Partner, Business Partner Relationship or Product, set the selection criteria, pick the file format with the radio buttons, Office Open XML (*.xlsx) or Compressed CSV (*.zip), then choose Export and then Download File. SAP recommends Compressed CSV (*.zip) for large volumes because it uses less memory on the application server. The system applies the most restrictive authorization profile the user holds, so a user whose display profile lacks export rights gets an empty file. Bank data and credit management data are held back from these files. For transaction data, open the SAP Fiori list report for that object and use the Export button in the table toolbar, either Export or Export As..., which writes a spreadsheet or a PDF.

What it holds

Business partners and their relationships, products, and the finance, sales, purchasing and logistics documents posted against them.

Find the size

Neither app prints a storage figure or a document total. Quote the row count of each exported file, taken per object, and the count of business partners and products from the Export Master Data scope.

What to enter on the form

SAP S/4HANA in records, and the year your company started using it. Seller form
